1. REGISTRATION

Registration constitutes a binding and irrevocable offer from the exhibitor. Any additions or modifications to the registration form or the terms and conditions are invalid. By submitting the registration, the exhibitor fully accepts the General Terms and Conditions. These terms and conditions also apply analogously to all other services and additional orders, such as the setup and dismantling of the exhibition stand, rental of exhibition equipment, and provision of electricity, water, and other facilities.

2. Seating allocation

Upon receipt of the application (by mail, fax, email, etc.) by the organizer, the exhibitor is obligated to participate in the trade fair or event. The organizer is not obligated to accept the application. Applications are considered subject to the availability of exhibition space. Submitting the application form does not guarantee the allocation of an exhibition space. Exhibition space is allocated solely by the organizer according to product group classifications. Acceptance of the application is confirmed by sending a written stand confirmation. Therefore, the organizer can only partially accommodate specific space requests (showroom/exhibition area in the hall).

3. STAND RENT

The rental prices listed on the registration form apply for the duration of the event. Each commenced square meter will be charged in full. All rental prices are exclusive of VAT and other fees.

4. CANCELLATION OF REGISTRATION

  • In the event of cancellation, the exhibitor shall pay the organizer the following cancellation fees: Up to the official registration deadline (see front page), 40% of the agreed stand rental fee; after the official registration deadline, 100% of the agreed stand rental fee, in each case plus a flat-rate organization fee, taxes, duties, and other incidental costs. The cancellation fee is payable as liquidated damages regardless of fault, and the exhibitor waives any reduction of the damages claim, in particular the right to judicial mitigation for any reason whatsoever, including the right to offset unjust enrichment. The exhibitor acknowledges that the cancellation fees are also payable should the organizer succeed in renting or selling the exhibition stand to a third party. This does not affect the right to claim damages exceeding the agreed cancellation fees.
  • The organizer reserves the right to cancel the event for serious reasons, to shorten its duration, or, if required by official orders or other compelling circumstances, to relocate or restrict the available space. This does not entitle the exhibitor to withdraw from the contract. The exhibitor cannot assert any claims for damages against the organizer for the aforementioned reasons.
  • Should the trade fair project be cancelled by the organizer for organizational reasons, this will be announced 8 weeks prior to the start of the fair and the exhibitor's registration will be cancelled free of charge. In this case, the exhibitor cannot assert any claims for costs or damages against the organizer (despite having already received confirmation of participation or a stand).
  • If the event cannot be held due to force majeure, strikes, or political events, the exhibitor is not entitled to any claims for damages against the organizer, regardless of their nature. The organizer must inform the exhibitor immediately if the trade fair is cancelled.

5. PAYMENT TERMS AND ACCOUNTING

The rental invoice, including the operating costs and organization fee, is due in full no later than five weeks before the start of the event. Invoices issued after this date are due immediately. Timely payment of the invoice is a prerequisite for the handover of the assigned booth. If the invoice amount has not been received by the organizer by the due date, the organizer is free to dispose of the assigned booth without further notice. In this case, section 4 of the General Terms and Conditions applies. The exhibitor is not entitled to withhold, refuse, or offset payment of invoices due to any counterclaims whatsoever. All services are subject to 20% VAT.

A 1% contract fee will be charged on the total costs, including VAT. Should payment not be received on time, we will be obliged to invoice for accrued interest as well as any legal fees incurred. Rental and operating costs cover the exhibition period and the arrival and departure days specified by the organizer. If the invoice is not to be issued to the exhibitor/contract partner but to another company (supplier – manufacturer), the exhibitor/contract partner remains liable in the event of non-payment. If the invoice is rewritten at the exhibitor's request, the statutory contract fee of 1% of the total amount plus VAT must be charged again.

6. REVOCATION OF SEAT ALLOCATION

The organizer is entitled to revoke the assigned seating if:

  • The issuer fails to meet their payment obligations on time,
  • In the meantime, insolvency proceedings, out-of-court settlement proceedings or liquidation against the issuer have taken place or are imminent,
  • Are there any outstanding claims from previous trade fairs, or
  • The exhibits do not or no longer correspond to the trade fair theme. In these cases, point 4 applies accordingly, even if only one of the above-mentioned points applies.

7. EQUIPMENT OF THE EXHIBITION ROOMS OR EXHIBITION AREAS

SHOWROOMS / INTERIOR FURNISHINGS

  • 2 tables, 8 chairs, clothes racks and/or shelves as needed. The keys to your rented showroom will be handed over at the information desk upon payment of a €40 security deposit and presentation of photo ID.

EXHIBITION HALLS / EQUIPMENT

  • Up to 30 m2: 1 table, 4 chairs, clothes rails and/or shelves as required.
  • Up to 50 m2: 2 tables, 8 chairs, clothes rails and/or shelves as required.
  • The official stand height is 2 meters for trade fairs (2.5 meters for public fairs). Structures or advertising media exceeding this height may only be erected with the prior written consent of the organizer. All exhibition stands and showrooms are equipped with sufficient general lighting. Any additional lighting installed by the exhibitor or via an electrical contractor must be reported to the organizer well in advance of the event, and the installation must be inspected and approved by a licensed electrical contractor appointed by the organizer (verification of the available electrical capacity). This work will be invoiced separately to the exhibitor. The additional electricity consumption resulting from the supplementary lighting, as well as any necessary installation of a meter, will be invoiced to the exhibitor. The furnishings, as well as the exhibition and showroom floors, walls, and window and showroom glass panes, will be handed over in a clean condition upon occupancy. Should any soiling or damage be found upon return of the stand or showroom, the repair or cleaning costs will be invoiced to the exhibitor. (Please ensure that any advertising stickers are removed without leaving residue or damaging the paintwork.) Affixing advertising materials (posters, banners, etc.) outside the stand is only permitted with the organizer's written consent and is subject to a fee. A 25% surcharge applies to rental furniture orders placed less than 7 days before the start of the trade fair.

8. SETUP, DISMANTLING AND DESIGN OF THE STANDS

Equipment and stand structures brought into the exhibition space by the exhibitor must comply with the general safety and fire regulations applicable in Austria. For example: the stability of the stands, the safety of suspended elements, and the use of textile materials and decorative elements must demonstrably meet fire protection classes B-s1, d0 and C-s1, d0 (flame-retardant, low-smoke, non-dripping). Aisles and common areas must be kept clear at all times; that is, no building components may protrude into the aisles, and no exhibits may be placed in the aisles. If the stand construction is carried out by the organizer, nailing, drilling, and gluing are prohibited on PVC-coated walls. Damage will be billed at replacement cost. Painted walls may be wallpapered, provided that the wallpaper is removed by the exhibitor immediately after the event. If the wallpaper is not removed, this work will be carried out by the organizer and billed to the exhibitor. In case of damage, the replacement cost will be charged.

The setup and dismantling times specified in the exhibitor information must be strictly adhered to. If the rented space is not occupied on the setup day, or if no notification of a later arrival is received, the organizer reserves the right to allocate the space to another party without further notice, in which case the full stand rental fee remains payable. Setup must be completed by the time specified by the organizer. Exceeding the setup/dismantling time is not permitted. In the event of exceeding the setup/dismantling time, any claims for damages of any kind whatsoever are excluded.

If the dismantling time is exceeded, the organizer is entitled to have the stand structures removed and stored at the exhibitor's expense and risk. After dismantling, the original condition must be restored. The exhibitor is liable to the organizer for any damage caused by improper handling.

9. TRADE FAIR SCHEDULE

The exhibitor is obligated to occupy the showroom or exhibition stand no later than two hours before the start of the trade fair and to keep it staffed for the entire duration of the exhibition – including the last day – until closing time at 5:00 p.m., or according to the opening hours of the respective trade fair. Failure to comply will result in a contractual penalty of €1,000 being charged by the organizer.

10. LIABILITY AND DAMAGES / TRADE FAIR INSURANCE

According to insurance law, all items not permanently attached to the building (such as exhibits and stand equipment brought in and left behind by the exhibitor) are not insured by the organizer against fire or water damage, regardless of cause, nor against theft or damage. The organizer assumes no liability whatsoever for loss of or damage to exhibits and stand equipment brought in or left behind by the exhibitor. The organizer is under no obligation to take out any insurance. The stand rental does not include insurance for items brought into the exhibition stand, the stand itself, or any other exhibition equipment.

If insurance is taken out with the organizer or an insurance company, the terms and conditions agreed upon separately in writing at the time of the insurance policy's conclusion apply. It is recommended to take advantage of the special conditions agreed upon with the insurance company for an insurance policy in order to exclude any potential risks. The organizer assumes no liability whatsoever for vehicles parked on the exhibition grounds by exhibitors, their employees, or agents. Exhibitors, in turn, are liable for any damages caused to persons or property by them, their employees, their agents, or their exhibits and equipment. The organizer shall be held harmless and indemnified in all such cases.

During setup and dismantling, each exhibitor has an increased duty of care for the security of their goods. Valuable and easily movable exhibits must be removed from the stand outside of trade fair opening hours (especially at night) and stored by the exhibitor at their own risk. The organizer will not accept shipments intended for the exhibitor and is not liable for any losses, incorrect deliveries, or delays. The trade fair's freight forwarder will store exhibits and packaging materials at the exhibitor's expense and risk. Overnight stays in the halls and on the outdoor grounds are prohibited. The organizer is not liable for any financial, personal injury, or other damages of any kind whatsoever that may arise in connection with the preparation, execution, or conclusion of an exhibition, whether to the exhibitor, their employees, or third parties, for any reason whatsoever.
